- Accessible Point of Contact: Serve as an approachable and trusted point of contact for pilots, providing ongoing support, listening to questions or concerns, and helping pilots navigate organizational processes.
- Referral and Follow-Up: Direct pilots to the relevant function within the organization and follow up to ensure that matters are addressed and closed properly.
- Personal Connection: Build trust-based relationships with pilots and act as an attentive listening ear while maintaining discretion and professionalism.
Communication and Welfare Activities:
- Communication Routines: Coordinate and execute ongoing communication routines with pilots, including monthly and quarterly pilot meetings, updates, and relevant communication forums.
- Welfare Events: Plan and execute aircrew welfare and engagement events, including events such as Wings Ceremony and other community-building activities.
- Headquarters Connection: Strengthen the connection between pilots, headquarters, and the company, and encourage participation in welfare, communication, and engagement initiatives.
- Burnout Prevention: Support the development and implementation of programs and routines aimed at identifying and reducing burnout among pilots.
Cross-Functional Coordination:
- Organizational Liaison: Act as a connecting link between pilots and key internal departments, including Training, Scheduling, HR, Payroll, Finance, IT, and Fleet Managers.
- Issue Coordination: Coordinate and track open matters raised by pilots, ensuring alignment between relevant stakeholders and timely follow-up.
- Process Support: Support administrative and operational processes related to aircrew engagement, communication, and welfare.
Pilot Recruitment Administrative Coordination:
- Selection Process Coordination: Manage the administrative coordination of the pilot recruitment and selection process, including scheduling, communication, documentation, and follow-up with candidates throughout the process.
- Candidate Interface: Serve as the main administrative contact for pilot candidates during the selection process, ensuring a clear, professional, and well-coordinated candidate experience.
- Preparation of Selection Materials: Prepare and consolidate materials for instructors’ selection discussions in collaboration with the Training and HR departments.
- Internal Coordination: Coordinate between candidates, instructors, Training, HR, and relevant internal stakeholders to ensure an efficient and well-managed selection process.
Managerial Support and Work Routines:
- Support to Aircrew Managers: Assist Aircrew Managers in maintaining consistent management routines, follow-up mechanisms, and ongoing communication with pilots.
- Management Routines: Help managers prepare, execute, and follow up on recurring meetings, team updates, and engagement routines.
- Escalation: Identify issues requiring managerial, HR, or professional attention and escalate them to the appropriate function when needed.
- HR Professional Guidance: Work under the professional guidance of the HR Manager on relevant people-related matters, ensuring alignment with HR standards, practices, and escalation principles.
