Challenge Airlines (BE) S.A. is an airline based in Liege Airport (LGG) with a Belgian AOC. The airline operates daily scheduled cargo flights and charter services carrying nonstandard goods and general cargo internationally. This role provides administrative and operational support to ensure the smooth running of office and facility activities. It includes handling daily tasks, coordinating services, and supporting internal operations and communication.

 

 

Please note : This position is offered under a PFI (Plan Formation Insertion) contract.

 

Responsibilities

Backup to the Senior Executive Secretary

  • Welcoming external visitors
  • Managing calls and emails from the general inbox
  • Ordering lunches for training sessions (crew, loadmaster, etc.) via the dedicated platform
  • Organizing and preparing meeting and training rooms (bookings, drinks, equipment)
  • Monitoring office supplies and placing necessary orders
  • Handling mail distribution and posting
  • Supporting the organization of internal or external events
  • Managing first aid kits
  • Maintaining kitchen equipment (e.g. coffee machine)
  • Ordering, managing, and distributing company gifts
  • Manage and coordinate daily calendars, including organizing travel arrangements
  • Overall, act as backup to the Senior Executive Secretary

 

 Airport badge management

  • Completing and submitting all badge-related requests in a timely manner
  • Following up on lost, stolen, or reactivation requests, including required procedures
  • Vehicle access requests (airside driving permits)
  • Tracking and maintaining records for each badge in the system/dashboard

 

ID badge management

  • Creating all types of ID badges for employees and crew
  • Monitoring badge validity in the system/dashboard
  • Ordering badge-related materials (holders, ink, cards, etc.)

 

Building badge management

  • Ordering and assigning badges for new joiners
  • Updating employee profiles
  • Monitoring access rights in the system/dashboard
  • Ensuring badge functionality via the dedicated platform
  • Collecting badges in person at the airport

 

Building management

  • Ordering and managing furniture via the dedicated platform
  • Handling day-to-day building operations and coordinating with Liège Airport (doors, heating, lighting, elevators, etc.)
  • Ensuring the smooth running of the building, acting as a key point of contact for reception and day-to-day support

 

Internal communication

  • Preparing onboarding communications for new employees for HR
  • Posting updates on internal screens (TVs)
  • Writing and distributing internal communications (emails, airport/building updates)
  • Covering internal and external events with photos
  • Writing articles, newsletters, and communications highlighting company activities and achievements

Education

  • Bachelor’s degree or equivalent experience in administration or office support

Experience

  • Previous experience in administrative, office support, or reception roles is an asset
  • Experience in a customer-facing environment is an advantage
  • Fluent in English and French (written and spoken)
  • Strong written and verbal communication skills
  • Good proficiency in Microsoft Office tools (Excel, Outlook) and online platforms (e.g. Canva)
  • Strong interest and affinity for IT tools and digital systems
  • Well-presented with a professional appearance due to regular contact with visitors
  • Highly organized and detail-oriented
  • Proactive, reliable, and able to multitask
  • Flexible and willing to travel or move around occasionally for operational needs (e.g. errands, pick-ups, on-site support)
  • Service-minded with a “hands-on” attitude
